Floor Plans, Fire Safety, and Faster Fixes: eSPACE at Pathway Church

Overview

Pathway Church of Vero Beach, FL, faced mounting challenges in managing its facilities without a formal work order process or centralized system. Maintenance was entirely reactive, with issues addressed only as they were noticed, leaving priorities unclear and efficiency low. After discovering eSPACE, Building & Grounds lead Mark Hamelin implemented the platform to organize work orders, map equipment and safety systems, and streamline communication with staff. The result was a complete transformation—moving from chaos to a proactive, well-documented facility management program that saves time, improves responsiveness, and sets the church up for long-term success.

The Challenge

Before eSPACE, Pathway Church had no effective facility management program or formal work order process. Mark’s team operated in a purely reactive mode—walking through the facilities, fielding “hey, this is broken” reports, and scrambling to respond.

Attempts to adapt existing church programs for work order management failed. Without a structured system, tasks piled up, priorities were unclear, and efficiency suffered. Mark knew the church needed a more organized, proactive solution.

The Solution: Implementing eSPACE for Facility and Work Order Management

After seeing a live demonstration, Mark immediately recognized eSPACE as the tool they needed. He took ownership of learning the system in detail, then trained staff to submit work orders—requiring only 5–10 minutes of instruction per person thanks to eSPACE’s simplicity.

Key implementation steps:

  • Built out the Facility Management module with floor plans, identified spaces, and all major equipment.
  • Streamlined the work order submission process for staff.
  • Adopted the Floor Plan tool, scanning in blueprints and creating over 25 custom layers for specialized facility tracking.

Impact and Results

1. Time Management & Effectiveness
Once the data was entered into eSPACE, Mark was able to prioritize work orders, manage his time more effectively, and improve the overall quality of maintenance and repairs.

2. Enhanced Floor Plan Utilization

  • Mapped fire extinguishers, alarms, and emergency lights.
  • Created evacuation plans for different areas.
  • Tracked major projects, such as converting all fluorescent lighting to direct-wire LED, marking completed areas in real time.

3. Staff Adoption
Staff embraced the change quickly, responding with “Wow, this is really easy” after just a few minutes of training.

Why eSPACE Works for Pathway Church

Mark, with extensive experience reviewing facility management systems from his government career, found eSPACE uniquely straightforward and effective:

“This program is simple. It does what you need to do and it’s very easy to operate. If you have questions about it, see a demonstration and do it—it will improve your facility management.”

Key Outcomes

  • Transitioned from reactive to proactive facility management.
  • Increased efficiency and priority management.
  • Created a centralized, visual reference for equipment locations, safety systems, and project tracking.
  • Established a long-term, scalable foundation for facility stewardship.
