About the Role

We’re seeking a highly organized and proactive Remote Office Manager to lead our administrative, HR, and operational support functions. You’ll coordinate with our PEO partner, assist with financial reporting, oversee compliance tasks, and support various departments across the organization. This is a critical role that helps ensure Smart Church Solutions runs smoothly and efficiently as we grow.

Key Responsibilities

Human Resources & People Ops

  • Coordinate onboarding/offboarding, payroll, benefits, and compliance with our PEO partner
  • Track and submit monthly HRA reports
  • Manage PTO processes and employee documentation
  • Support recruitment efforts and handbook updates

Finance & Reporting

  • Collaborate with CPA/bookkeeper to track expenses, invoices, and budget performance
  • Assist with monthly closeouts, tax filings (including multi-state sales tax), and SaaS KPI reporting
  • May assume bookkeeping duties as needed

Operations Support

  • Maintain digital systems, SOPs, internal wikis, and document repositories
  • Support executive scheduling, meetings, retreats, and document formatting
  • Manage internal communications like monthly team portal updates
  • Travel coordination as needed
  • Send gifts to new eSPACE clients, order branded merchandise, and assist with conference logistics
  • Coordinate booth shipping and promotional materials for events
  • Administer policies (cyber, liability, workers comp, etc.) and support renewal processes
  • Assist with compliance documentation and risk mitigation tracking

What We’re Looking For

  • 5+ years in office management, operations, or administrative support
  • Familiarity with HR and PEO coordination
  • Proficiency with Google Workspace, QuickBooks, and general accounting tasks
  • Experience creating or interpreting financial reports; SaaS metrics familiarity a plus
  • Detail-oriented, highly organized, and a proactive communicator
  • Experience working remotely with a distributed team is a plus
  • Strong alignment with our mission—and ideally experience in church or nonprofit settings

Compensation & Benefits

  • Salary: $55-65,000, based on experience
